In these terms, «Okoumé» and «we» refer to the entity above. «You» refers to the site user or customer.
2. What these terms cover
There Part A governs the use of the okou.me website by anyone who views it.
There Part B governs paid-for services. It applies as soon as you entrust us with a commission, regardless of the service concerned.
In the event of any contradiction between these conditions and a quote or a signed letter of engagement, the quotation or engagement letter shall prevail. For medical tourism organisation services, the’medical service agreement signed takes precedence over these terms and conditions.
Use of the site
3. Use of the website
By using this site, you undertake to use it for lawful purposes, not to compromise its security or operation, and not to extract or reuse its content in an automated manner.
We can restrict access in the event of a breach.
4. Informative content
The content of the site — guides, information pages, budget estimates, and explanations regarding visas and procedures — is provided For your information.
Immigration rules, university fees, hospital tariffs and entry conditions change without notice. We indicate our sources and the date of last verification, but we do not guarantee either the accuracy or the ongoing currency of this information. They replace neither legal advice, medical advice, nor an administrative decision. Always check with the official source before incurring any expense.
5. Intellectual property
The texts, visual identity, logos and site structure belong to Okoumé, unless stated otherwise. Certain images belong to their authors and are used under licence.
You may not copy, reproduce or distribute this content without prior written permission. However, a short quotation with a link to the original page is welcome.
Third-party sites
The site links to external websites — universities, government departments, and service providers. We neither control their content nor their practices and accept no responsibility for them.
Our services
7. Nature of our services
Okoume provides a administrative, logistical and linguistic support. Depending on the assignment, this may include: orientation towards establishments, putting together application packs, coordinating translations, preparing visa applications, organising travel and stays, as well as on-site assistance.
What we are not
- We are not a government department. We do not issue any visas and do not make any admission decisions.
- We are not a law firm. We do not provide any legal advice.
- We are not a healthcare establishment and we do not employ any healthcare professionals. We do not make any diagnoses or provide any medical opinion.
- We are not an educational establishment.
No guarantee of result
We are committed to a obligation of means, no result. We do not guarantee the obtaining of a visa, admission to an institution, the award of a scholarship, the availability of a hospital place, nor the outcome of a treatment. Any decision rests with the authorities, institutions and practitioners concerned.
8. Fees and payment
Our fees are communicated to you in writing and in advance, in a quote or a letter of engagement. No service is undertaken prior to your written acceptance.
- Fees are expressed in ZAR / EUR.
- A deposit of 50% is payable upon acceptance; the balance is payable in accordance with the agreed payment schedule.
- Any bank and exchange charges are to be paid by you.
- The fees do not vary according to the establishment, practitioner or service provider chosen.
We do not charge any commission from healthcare establishments, practitioners, universities or schools in return for the referral of persons.
9. Amounts paid to third parties
Tuition fees, hospital costs, rent, plane tickets, visa fees, translations and accommodation services are settled directly by you to the relevant service providers.
Okoumé never holds funds intended for care. When we make a one-off payment to a third party on your account (lodge deposit, administration fee), this is expressly provided for in the quote and is billed to you at actual cost.
10. Your obligations
You undertake to provide us with accurate and complete information, to submit documents within the specified deadlines, to respond to requests from establishments and administrations, and to inform us without delay of any change in your situation.
We are not responsible for the consequences of inaccurate information or documents submitted late.
11. Cancellation — support services
You can end the assignment at any time, in writing.
We therefore retain the portion of the fees corresponding to the services already carried out and refund the balance to you under 30 days. The sums already committed to third parties — translations, processing fees, visa fees — remain payable.
If we cannot carry out the mission — no institution can take on the case, the service cannot be carried out — we are informing you without delay and are refunding your fee, minus any costs actually incurred.
12. Cancellation — organised departures
Small group tours involve firm bookings with lodges and service providers, often several months in advance. The cancellation fees below reflect the amounts we are unable to recover.

These amounts correspond to actual and reasonable costs, and not a penalty. If our effective costs are lower, we will refund you the difference.
Minimum number of participants. A departure can be cancelled if fewer than … people are registered 60 days before the scheduled date. In this case, you will receive a full refund of the sums paid to Okoumé, or you can transfer them to another departure.
Substitution. You can transfer your ticket to another person until 30 days before departure, subject to the agreement of the service providers and the corresponding amendment fees.
13. Modifications or cancellation by Okoumé
We may modify an itinerary when safety, weather, park access or supplier availability requires it. In such cases, we offer an equivalent service.
If we cancel a departure for a reason of our own, you will be fully refunded for the sums paid to Okoumé.
14. Force majeure
We are not responsible for any failure resulting from an event beyond our reasonable control: natural disaster, epidemic, civil unrest, strike, border closure, administrative decision, flight cancellation, network breakdown or service provider failure.
In this case, we endeavour to postpone or adapt the service. Any sums already paid to third parties and which are non-refundable cannot be reimbursed by Okoumé.
15. Visas, immigration and travel documents
Immigration decisions belong exclusively to the competent authorities. We guarantee neither the obtaining of a visa nor a processing time.
It is your responsibility to hold a valid passport, the required visas, the necessary vaccination certificates and any other document required for your journey. Visa fees are non-refundable, including in the event of a refusal.
Do not book any non-refundable tickets before obtaining your visa. We are not responsible for any costs incurred against this recommendation.
16. Organisation of healthcare stays
These services are subject to a separate service agreement, signed prior to any commitment, which takes precedence over these terms and conditions.
In short: we organise, we do not treat. We do not provide any medical advice, choose your practitioner, translate medical documents ourselves, hold funds intended for medical care, or guarantee any therapeutic outcome.
17. Assurance
Travel insurance is compulsory to take part in an organised departure. It must cover at least medical expenses, repatriation and cancellation. A certificate may be requested.
For stays in South Africa subject to a visa, health cover with an organisation registered in South Africa may be required by the authorities. International travel insurance is not accepted for this purpose.
It is up to you to take out cover suited to your situation.
18. Liability
We perform our services with the care and reasonable skill expected of a trip organisation and administrative assistance professional.
We are not responsible:
- acts, omissions or decisions of educational establishments, practitioners, hospitals, airlines, accommodation providers, translators and other independent service providers; ;
- decisions and timeframes of the immigration authorities; ;
- indirect losses: loss of profits, loss of opportunity, non-material damage; ;
- the consequences of inaccurate or incomplete information you may have provided to us.
Ceiling. Except where mandatory legal provisions require otherwise, our liability for any assignment is limited to amount of fees actually received for this mission.
Reserves. Nothing in these terms excludes or limits our liability where it is unlawful to do so, including for gross negligence, wilful misconduct, death or personal injury caused by our negligence, nor does it exclude or limit any rights you may have under South African consumer protection legislation.
19. Complaints
Write to us first at contact@okou.me. We acknowledge receipt under 5 working days and we will respond on the substance within 20 working days.
If an issue arises during a stay, report it immediately on site many situations can be corrected on the spot, and rarely after returning.
If our response does not satisfy you, you retain all of your legal rights.
20. Privacy and personal data
The processing of your data is governed by our Privacy policy, which forms an integral part of these terms.
21. Modification of conditions
We may update these terms. The version applicable to your assignment is the one in force on the date of your written acceptance ; a subsequent modification does not apply to it.
For the use of the site, the published version applies.
22. Governing law and jurisdiction
These terms are governed by South African law. South African courts have jurisdiction, without prejudice to mandatory provisions protecting consumers in their country of residence.
23. Language
These terms are published in French and English. In the event of any discrepancy, the English version shall prevail.
24. Divers
If a clause is deemed invalid, the others remain applicable. Failure to exercise a right does not constitute a waiver of that right.
